Checking a pass status online: the Immigration ePass portal and reading the result
Short answer: the Immigration Department provides online ways to look up the status of certain passes, often referred to as ePass checks. They are helpful for a quick look, but a result on a screen does not replace official letters or the pass itself. Read results with dates and paperwork, and only check people you have a proper reason to check.
What an online status check is for
Employers and agents use online lookups to see roughly where an application or pass stands: for example whether it is still being processed, whether a decision has been made, or whether a pass appears valid. For a company with many workers this saves time compared with phoning or visiting.
The lookup tells you what the system holds at the moment you look. It does not explain why a status is what it is, and it does not promise what the decision will be.
Reading a result carefully
When you read a result, think about three things:
- Which person and which pass? Make sure you are looking at the right individual and the right pass or application. Similar names and repeated applications cause mix-ups.
- What date is it as of? A status can change after you look. Note the date and time you checked.
- Does it match your records? Compare against the approval letter, the endorsement and your own calendar. Differences deserve a question before they become a problem.
Wording in portals changes over time, so we do not list what each phrase means. If a term is unclear, ask the authority or your consultant rather than guessing.
Use it for your own people, and for a reason
Pass details are personal data. A good rule is to check only people the organisation is responsible for, such as its own employees or clients who have asked you to, and to keep a simple note of who checked what and why. Bulk checking of strangers, or scheduled sweeps of large lists, is not an appropriate use and may breach the portal's terms or data protection expectations.
Dates and renewals
A status check is most valuable when it sits alongside a calendar of expiry and renewal dates. Our article on keeping company documents ready explains why dates deserve an owner. For workers, the FOMEMA screening guide shows how screening ties into renewals.
When the result is not what you expected
If the result looks wrong, stay calm and do these things in order: write down what you saw and when, compare with your approval letters and records, check you have the right person, and then contact the authority or your consultant with those facts. Avoid making employment decisions, such as stopping work or travel arrangements, on a single screen result without confirming.
Where checks fit in the bigger process
For professional hires, see the Employment Pass overview, and for general workers see the foreign worker quota guide. Status checks are a tool inside those processes, not a separate process.
Privacy and security basics
Do not share screenshots of pass details in open group chats. Store them where only the people who need them can see them, and remove them when no longer needed. Never give your own login to the portal to anyone outside your organisation.

FAQ
Is the online result the final word?
It is a useful indicator, but official letters, endorsements and the physical or digital pass are what count. If the screen and the paperwork disagree, ask the authority.
Can anyone look up anyone's pass?
Lookups should be done only for people the organisation has a genuine reason to check, such as its own workers. Do not run bulk or speculative checks on strangers.
What if the status looks wrong?
Note the date and details, compare with your records and contact the authority or your consultant. Do not assume the system is right or wrong without checking.
Do status wordings stay the same?
No. Portals and wording change from time to time, so check what a status means in the current version of the portal.
